Why I Back Up Everything…

Four years ago, my sister married a man that had become my best friend. I was part of the best wedding ever. I had my camera with me, but only for fun! The wedding photographer captured everything. He was very nice, personable and enjoyable.

The wedding came and went. Matt and Jodi returned from their 10 days in Maui, tan and ready to view some of their wedding photos. The photographer let them know that their digital photos would be ready within a week or so.

Six weeks after the wedding, my sister received a phone call that no bride should ever receive. Her heart fell through the floor when her wedding photographer told her that his hard drive crashed, and he lost ALL of her pictures.

She was devastated. I was horrified. How could this happen? It should not have happened. It should never ever happen!

Well… everyone that had a camera at the wedding pooled their photographs together, and we made them an album. It was at least something…

Lesson: I take many, many precautions with my digital images.
 

  1. Flash cards never leave my pockets at an event. I have a system of clearing all of my flash cards prior to an event. Empty flash cards go in my left pocket.
  2. I check for images even when I load a new, cleared flash card into my camera. If there are images, they are from that day’s event.  It never happens, but I check just in case.
  3. Full flash cards are put in their case in my right pocket. I can replace my camera gear if it disappears at an event. My pocket will be guarded with my life!
  4. I backup my digital files at the reception. There is usually a couple of minutes for me and my assistant to download the images from full cards to my laptop as our first backup. The cards, with images, are then put back into my right pocket (safe and sound).
  5. After the event, all of the images are stored on my desktop computer, then backed up to my external hard drive. Then they are backed up to my other external hard drive, then uploaded to my offsite storage. This all happens before I sleep.
  6. Effectively, the day after an event, the images are stored on 5 hard drives (laptop, desktop, two external drives, and the flash cards) as well as 1 offsite storage site.
  7. Finally, I have plenty of high capacity flash cards. I rotate my flash cards so that I do not use the same flash cards for back to back events.

Call it overkill… I’ll always back up, and back up, and then back up again.

I’m so sorry your sister lost her pics, but it’s so great that you learned from that photog’s mistakes. What you and the other guests did for your sister was incredibly sweet. Thanks fo sharing!

I wish I were half as diligent! I try to back up my hard drive on both my external hard drives, but I put it off until it builds up. If my hard drive crashed, I’d cry!

Backing up is a must! I cannot imagine how that bride and groom felt. In high school, my senior portraits were lost and had to be retaken months later. It worked out okay in the end, but I was very upset at first. I had a nightmare or two that my wedding photos were lost! Luckily, my photographers back up and everything turned out great.

Yes, backing up to multiple methods, such as to CD, DVD, hard disc or remote server makes it virtually impossible that your pictures can be lost. It’s hard to imagine any photographer that doesn’t back-up continually and regularly.

When I shoot a Maui wedding, the first thing I do when I get back to my office is to upload the images to my hard disc, then make a copy on CD and to my remote server.

Thanks for sharing your family’s story of love, loss, and learning. My cousin’s wedding photographer was fabulous, and took some of the most amazing photos, but she lost most of the pre-wedding photos…due to film loss, and at that time, pre-digital there were only a limited number of other photos taken. So your story serves as a reminder to pay attention to the photographers storage system. Recently, I attended a wedding that the reception was in a mirrored hall. I discovered that it was difficult to take photos that didn’t catch the mirror’s reflecting light. The wedding also had a drama king brother-in-law who was causing major issues that day, but was persistantly in found in the reflection of the mirrors during all the major photo events. I found myself taking photos around the photography who wouldn’t have known the backstory of this BIL. The bride told me later that his presence made choosing pictures difficult at points…

I learned the hard way too to back up my photos, and sometimes I don’t know if there’s ever enough backups - one month I had 3 hard drives crash, effectively losing all files and all backups for three years!

Now I don’t trust myself with any technology and I backup to two different external (read online and away from me) sources as well as discs and external drives. The fragility of zeros and ones is frightening.
